The post holder will be responsible for the Management of the Local Services Senior Management PA team, and provide PA support for specified Senior Managers.

The ideal candidate will need to be an experienced PA who has the ability to manage staff and to meet the complex demands of the Senior Management team.

Admin Team Leader key responsibilities:

To line manage and supervise the day-to-day work of the administrators & PAs within Local Services that support the Senior Management Team (SMT).

To ensure adequate administrative cover is maintained at all times.

To work with the Deputy Head of Administration to look at digital solutions to streamline and standardise support for meetings and other PA duties.

PA to Senior Manager responsibilities:

To manage the electronic diaries for designated members of the Local Services SMT to ensure that various commitments are arranged to achieve effective time-management.

To support key meetings for the Local Services SMT, including:
    • preparing and circulating the agenda with minutes & other supporting documents
    • Minuting and typing the minutes within reasonable timescales
    • Produce and follow up action logs
    • Undertake any actions arising from the meeting

QUALIFICATIONS

Essential

  • Diploma in administration, business or management (or significant experience in an administrative or management role)


Desirable

  • Degree in administration, business or management


EXPERIENCE

Essential

  • Previous Experience of direct line management including: recruitment, performance absence management, development, appraisal, training, work allocation
  • Wide ranging Admin/secretarial experience including PA experience, staff supervision, report writing and projects (approx. 2 years)
  • Highly competent user of MS Office Word, Excel, PowerPoint Email (Outlook), internet & Intranet
  • Experience of using large databases or waiting list data
  • Arranging bookings for: conferences, large meetings, workshops and travel
  • Diary management and administering meetings including preparation of agendas, minute taking / transcribing, preparation of action log and forward planner.
  • Using initiative and problem solving/improving office systems and procedures


Desirable

  • Essential experience gained in a Healthcare setting
  • Database searching/search engines
  • NHS patient information systems
  • Preparing/editing web page content


KNOWLEDGE

Essential

  • Knowledge of and proficient in wide range of office procedures
