Assistant Directorate Support Manager - Band 5 - 37.5 hours per week
An exciting opportunity has become available for an enthusiastic and self-motivated individual to join Health Records to provide high quality administrative support and line manage a team. This post is ideal for someone with a positive and pro-active approach and a keen eye for detail. The post holder will work closely with the Health Records Section Managers, Evolve Systems Administrator/Data Quality Manager and Assistant Directorate Support Manager for Patient Access. The role requires you to have good organisational skills that will contribute to the efficiency of the department and make an overall difference. You will be required to communicate with all levels of personnel and develop effective working relationships with all. We are looking for someone who is eager to learn new skills and be able to adapt to change in a busy, challenging but rewarding environment. You should have extensive experience of Microsoft Word and Excel spreadsheets, be able to work both autonomously and within a team as well as prioritising and organising workloads to meet deadlines.

Main duties of the job

To provide direct line management to designated administrative and clerical staff.

To work on own initiative to prioritise work in the specific areas of the Health Records Department in the face of competing demands.

To provide management support to other areas of Health Records in the event of colleagues leave.

To ensure there is efficient and effective delivery of service

To support service improvement work to ensure efficient, effective and productive patient access services.

To ensure a person-centred service that is responsive, flexible and adaptable

To work closely with colleagues including specialty teams, clinicians and support services and assist in its development

To embed quality improvement methodology within the patient access services

To provide cross cover forOperational Manager colleagues

Deputise for the Assistant Directorate Manager

Ensure there is a high quality of training and development of the teams, of their knowledge of national Health Records and Scanning policies and governance and RTT compliance.

To be on call for one Bank Holiday per year and to be available for Bank Holiday duties in the event of staff absence.

Job responsibilities

The focus of this role is to support the operational management of the Administration team within Health Records.

Key areas being to provide day to day line management and supervision to the Section Managers and oversee workforce rotas, attendance, HR process, recruitment and other relevant tasks.

If successful this vacancy will require a Standard DBS check at a cost of �21.90. This cost will be deducted from your first Trust salary

In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of �13.

Person Specification

Education & Qualifications

Essential

  • Good general education - 4 GCSE's/Level 4NVQ and/or equivalent experience
  • Evidence of continued personal development


Desirable

  • ECDL /Computer Skills certification
  • Leadership qualification


Knowledge

Essential

  • Knowledge of administrative procedures
  • Managerial knowledge acquired through degree or equivalent experience
  • Knowledge of data protection, IG and standards for maintaining health records
  • Computer literate - good knowledge of Microsoft Office / Excel and hospital IT systems e.g., EMIS


Desirable

  • Knowledge of NHS policies and procedures


Experience

Essential

  • Experience using Information Systems
  • Experience of line management in a busy complex administrative environment
  • Experience of working directly with medical staff and other NHS Allied Health Professionals
  • Experience of working to deadlines, setting priorities and dealing with a varied workload NHS experience
