Following the approval of the Digital Strategy we will be undertaking an ambitious programme of work to deliver a range of state-of-the-art clinical IT solutions across the Trust to fully digitize our patient records and provide clinical staff with fast, simple and controlled access to patient data. This will be supported by a modern fit for purpose infrastructure and links to our Group Hospital partner, North Bristol Trust.

UHBW is on the hunt for an enthusiastic and experienced Business Coordinator- To provide a full and effective business coordination function service to the Digital Services General Manager and wider Digital Services Department including:

To take responsibility for correspondence and reports, which includesdrafting and typing of letters and reports (some of which may beconfidential) that require high levels of concentration in a busy officeenvironment.

Preparing material, slides and presentations for meetings andconferences, using various software packages including spreadsheets.

To organise meeting, demonstrations, including booking rooms, catering, presentation equipment, and liaison with presenters, drafting programmes and on the day, event management.

To liaise with all disciplines of staff, both within and outside the Trust to ensure that effective communications are maintained.

Main duties of the job

Business Coordination - To provide a full and effective business coordination function service to the Digital Services General Manager and wider Digital Services Department including:

o To take responsibility for correspondence and reports, which includes drafting and typing of letters and reports (some of which may be confidential) that require high levels of concentration in a busy office environment.

o Preparing material, slides and presentations for meetings and conferences, using various software packages including spreadsheets.

o Arranging meetings, making appointments.

o To organise meeting, demonstrations, including booking rooms, catering, presentation equipment, and liaison with presenters, drafting programmes and on the day, event management.

o To appropriately deal with all enquiries in a responsive and professional manner to ensure a positive image at all times.

o To liaise with all disciplines of staff, both within and outside the Trust to ensure that effective communications are maintained.

o To receive calls and correspondence from staff within the Trust or members of the public, some of which may constitute complaints.

o To be responsible for incoming post, assessing priority and dealing with matters as appropriate, including initiating and replying to correspondence.

Person Specification

Qualifications and Training

Essential

  • Educated to degree level or relevant experience
  • Qualification in Business administration or equivalent subject
  • Evidence of commitment to continuing personal development


Knowledge and Experience

Essential

  • Experience of working in senior team environment supporting individual projects and administration
  • Experience of line managing staff
  • Knowledge of a full range of administrative and organisational policies and Procedures
  • Experience working as a business coordinator
  • Experience dealing with all levels of staff both on the telephone and in person
  • Previous experience of the NHS


Skills and Abilities

Essential

  • Excellent organisational and administrative skills with a high level of accuracy
  • Ability to quickly understand complex concepts and prioritise accordingly
  • Excellent communication and interpersonal skills in order to build and maintain positive working relationships with internal colleagues & external clients
  • Ability to work under own discretion and initiative with a methodical and organised approach without supervision
  • Proven ability to meet deadlines and work under pressure with skills relating to prioritisation, delegation and time management
  • Understanding of the sensitivity and confidentiality of work within the Digital Services Department and handling such work in an appropriate manner
  • Ability to quickly understand complex concepts and prioritise accordingly
  • Ability to use Microsoft Office or evidence of training in MS Office applications
  • Ability to work as part of a team
  • Ability to communicate effectively and appropriately both written and verbally with a wide range of people within and outside the Trust
  • Proven ability to persuade others
