Assistant Directorate Manager - Ward Clerks & A& E Reception
Full time - 37.5 hours - Permanent
We are currently looking for a highly organised, motivated and efficient individual to join our dynamic Directorate within Clinical Support Services. The post holder will provide support to the Deputy Directorate Manager in the operational delivery and performance management of the Ward Clerk and A& E administrative services ensuring key targets are maintained and sustained.
As part of the role, the post holder will be required to work as part of the management team to ensure sound administrative processes are in place in order to support the clinical teams to achieve operational objectives in an efficient and effective way.
The position will oversee the day-to-day management of administration staff including appraisal and objective setting, recruitment and retention therefore experience in these areas is essential. It is important that the post holder is able to communicate effectively and develop and maintain positive working relationships with managerial, non-clinical and clinical staff and all partner agencies across the Division and Trust.
Main duties of the job
This role will be responsible for the day to day management of all Ward Clerks and A& E based administration staff supporting clinical staff in the delivery of services. The post holder will work with clinical teams to ensure services have the administrative workforce with the capacity and skills necessary to support and deliver high quality services. The post holder will be expected to work independently to manage these departments, in line with service requirements and local/national policies. The expectation of the successful post holder is that they will have experience and knowledge in managing large operational teams.
The successful candidate will be well organised and able to prioritise work. This role will manage services that work 24 hours a day, 7 days a week, therefore successful candidates must have a flexible approach in terms of their working hours across the working week. The post holder will be expected to manage and devise rotas or systems to ensure competing workload demands and short-notice periods of leave are adequately and equitably met.
As part of this role, you will be required to support the manager and staff to review, develop and implement processes and systems. Excellent written and communication skills together with the ability to prioritise work and meet deadlines are essential combined with line management responsibilities. The post holder will need to be calm, patient and possess an excellent customer service manner.

- Oversee the operational management of the administration function within theWard Clerk and A& E administration services.
- Work as part of the Management Team to ensure sound administrative processes are in place to support the clinical teams to achieve operational objectives in an efficient and effective way.
- Support the manager and staff to review, develop and implement processes and systems using LEAN methodologies.
- Support administration staff to take forward new initiatives/projects within A& C working practices e.g. training programmes, task and finish groups, LEAN principles and service developments.
- Be able to demonstrate a high level of communication, mediation and negotiation skills to lead effective discussions where information can be conveyed which may cause potential conflict.
- Manage and prioritise workloads, using your own initiative and working without direct supervision although under the guidance of theDeputy Directorate Manager.
- Day-to-day A& C management including appraisal and objective setting, recruitment and retention.
- Be able to train and develop the administrative teams in terms of their knowledge and IT capability.
- Be able to deputise for the Deputy Directorate Manager as required. This will include dealing with queries from both clinical and admin and clerical staff, the completion of urgent tasks and where possible the resolution of urgent issues.
