The Cheshire and Merseyside Mental Health, Learning disabilities, and Community services (MHLDC) Provider Collaborative brings together the NHS Providers of Mental health, Learning Disabilities and Community Services in Cheshire & Mersey to work collaboratively to deliver better care for our citizens. The Collaborative is hosted by Bridgewater Community Healthcare NHS Trust.

As a Provider Collaborative Support Officer, the post holder will work as part of a Programme Management Office within the Provider Collaborative Team to support the overall governance and programme management function

Main duties of the job

The specific purpose of the post holder is to

Work autonomously on defined projects as identified by the Programme Managers, providing project planning and management support and support Programme Managers on higher risk projects.

Ensure accurate and open communication and co-ordination with a range of organisations, partners and individuals.

Research resources and draft documents and correspondence as required.

Be a proactive member of the team, supporting the project team, programme lead, Head of programme and the Managing Director in delivery of all work-streams, as required, as well as supporting effective communication and stakeholder management, both internally and externally.

Work in partnership with others and as part of cross organisational teams to deliver successful outcomes as defined in the project initiation documentation.

Support the Collaboratives mission and strategic objectives.

Job responsibilities

Projects

Responsible for delivering project tasks, where support is required and for delivering specific project activities.

Contribute to the identification and analysis of programme/project risks, escalating risks as and when required.

Develop, maintain and update the programme library, database and website resources in accordance with agreed processes and standards.

Create and maintain all programme records, management systems and reporting systems. Take responsibility for specific programme monitoring documentation such as actions log, risks and issues log and lessons learnt logs.

Undertake aspects of financial management and monitoring for the programme/projects, including day-to-day budget management duties such as administering and monitoring budgets.

Coordinate meetings and document minutes of meetings as required, as well as follow up such as chasing actions, papers and updates.

Draft briefing reports, draft letters of correspondence, arrange events and meetings, and produce papers for such meetings.

Follow up actions from meetings, holding managers and staff to account for providing updates as required.

Undertake and analyse surveys related to projects. Assist with producing programme and project status reports.

Assist with developing, preparing and distributing plans and reports. Provide general administration support to the PMO.

Prepare to undertake and complete tasks outside of the job description on an as required basis in response to business demands.

Communication

Provide support to compliance process with regulatory requirements including ICB and NHSE reporting collate and communicate business sensitive information as required.

Provide additional support to the Managing Director in ensuring an efficient flow between committees, aiming to reduce duplication and providing additional assurance on completion of actions by reviewing action logs prior to meetings and bringing to attention any arising matters.

Collate information on the latest health related publications that impact on the Collaborative and feed into the collaborative management team. Collate and circulate monthly information bulletin to stakeholders and member organisations

Support the engagement agenda by providing a succinct summary of meetings for the relevant partners / stakeholders.

Essential

  • The ability to travel independently across the Trust
  • The ability to work flexibly in accordance with service needs


Experience

Essential

  • Experience of administering projects
  • Previous experience of using a Project Management methodology
  • Experience of arranging and supporting meetings and formal committees including minute taking
  • Experience of producing high quality briefings and written documents for senior managers


Qualifications

Essential

  • Degree Level Qualification or equivalent experience


Desirable

  • Project Management Qualification
