Would you like the opportunity to work within Corporate Governance at HQ? We are looking for a highly motivated, friendly individual to join our small team.

The position requires someone with excellent minute taking skills, an ability to listen with attention to detail and good communication skills.

HQ is an agile working building, so the opportunity to work from home is offered.

Main duties of the job

Working autonomously and prioritise workload to ensure that all urgent matters are actioned. This will include responses to senior staff and independent Board Members. To analyse and interpret complex facts and situations as necessary to prepare papers for meetings observing corporate governance requirements and deadlines.

Taking and transcribing minutes for formal board meetings and committee meetings

Supporting the Corporate Governance Manager in reviewing ways of working and organisational policy review

Using excellent oral / written communication abilities and a high-quality office software skill to carry out duties with tact, diplomacy, sensitivity, and empathy.

Acting as the first point of contact for the Board & Senior Committee Meetings function and as such being responsible for screening all communications, including highly sensitive and complex matters

The ability to speak Welsh is desirable for this post Welsh and/or English speakers are equally welcome to apply

Job responsibilities

Working autonomously and prioritise workload to ensure that all urgent matters are actioned. This will include responses to senior staff and independent Board Members. To analyse and interpret complex facts and situations as necessary to prepare papers for meetings observing corporate governance requirements and deadlines.Taking the lead in co-ordinating the annual process for collection of Declarations of Interest and maintaining the Register of Interests preparing reports for consideration by the Audit Committee.Ensuring ad-hoc projects are undertaken efficiently and within appropriate timescales, which involves planning and co-ordinating specific project elements in line with organisational requirementsResponsible for maintaining the Calendar of Board and Senior Committee Meetings ensuring appropriate planning and co-ordination to ensure smooth running.Attending Board and Senior Committee meetings ensuring all supporting documentation is available, recording accurate formal minutes, ensuring prompt distribution of the same following the meeting.Organising filing systems and bring forward system, adhering to Health Board protocols regarding the Freedom of Information Act and complying with the Policy on Policies Act.Actively contributing to strategic/operation groups of which the post holder is a member liaising with internal/external colleagues and those in hosted agencies as required.Supporting the Corporate Governance Manager in reviewing ways of working and organisational policy review.Implementing policies and propose changes to working practices that improve the effectiveness of administration processes to support efficient service delivery.Developing procedures and policies as required in relation to the functions of the department.Communication.Using excellent oral / written communication abilities and a high-quality office software skill to carry out duties with tact, diplomacy, sensitivity, and empathy. This will involve exchanging complex, sensitive, or contentious information, where barriers to understanding or acceptance exist.Liaising with Board members to ensure they are fully apprised of meeting arrangements and requirements for action.Preparing and publishing documents as necessary on the Boards internet site.Maintaining up-to-date lists of stakeholder partner and organisations and other lists appropriate to Board and senior committee meetings.Dealing professionally in terms of the communication and action required around complex and sensitive information received from staff, patients, and members of the publicActing as the first point of contact for the Board & Senior Committee Meetings function and as such being responsible for screening all communications, including highly sensitive and complex matters.Exchanging complex information as appropriate both internally and externally and exercise judgment to resolve difficult situations/issues.Receiving, prioritising, and actioning where appropriate requests received via departmental email inboxes as appropriate.Ensuring the appropriate cascading of information as appropriate on behalf of the committee services function.Liaising with colleagues to ensure cover is in place during periods of annual leave or sickness absence. This will include comprehensive handover arrangements whenever possibleWorking to ensure that the office environment is managed to a highly efficient standard and that office cover is fully maintained.Maintaining an up-to-date knowledge of prevailing and ongoing NHS initiatives affecting Health Boards.Maintaining the Gifts and Hospitality Register and highlight potential conflicts of interest for onward consideration by the Audit Committee.Responsibility for the procurement processes around ORACLE, ensuring all invoices are validated and appropriate
