The post holder will be responsible for the provision of comprehensive and efficient administration and secretarial services to members of the Neighbourhood & Primary Care Directorate.

The post holder will provide day to day management, recruitment, training and leadership to administrators working across the Neighbourhood & Primary Care Directorate This includes the arrangement and, organisation of the administration resource across the locality in a timely and effective way.

The post holder will play a key role in the development of the administration service to streamline processes as part of a wider directorate project and will be responsible for providing support and supervision to band 4 administration colleagues.

Main duties of the job

To work with the administrative staff ensuring that all departments are providing a high level of administrative support to their clinical teams.

Ensure effective communication within the administration teams and good working relationships with colleagues across the Trust.

Communicates complex and highly sensitive information which may relate to staff, patients and relatives.

Responds positively, promptly and in a courteous and professional manner, to enquiries and incoming telephone calls

Deals with routine enquiries and takes the appropriate course of action as necessary, liaising with others as appropriate.

Arrange and chair meetings with the Administration teams to offer peer support, discuss performance, ongoing issues and department developments.

Communicate with HR, Recruitment, Payroll, occupational health as required.

Interview applicants for administration posts in the Directorate and give feedback.

To be responsible for the organisation administrative practices to develop efficient system of work within the team(s).

Provides leadership to the Directorate administration teams on a day-to-day basis and, if necessary, allocates work.

Complete regular appraisals and 1-1 meetings with staff and oversee annual leave and mandatory training.

Is aware of budget.

Record information, audits, analyse results and provides recommendations.

Ensure staff are aware of trust policies.

Person Specification



  • Good standard of general education 5 GCSEs or equivalent.
  • Degree or equivalent experience or working towards within agree time scale.
  • HND Higher National Diploma or equivalent experience.
  • NVQ 4 in Business Administration or equivalent working towards within agree time scale.
  • Supervision skills.
  • Must be able to communicate in English Language, both written and verbally appropriate to the post


  • ECDL
  • RSA/OCR III or equivalent typing/word processing including audio typing



  • Advanced Knowledge of information technology packages including Microsoft Word, Excel, Outlook and PowerPoint.
  • Experience of setting up and maintaining office systems.
  • Experience of budget management.
  • Proven Supervisor experience supervising and supporting colleagues.
  • Working with human resource policies
  • Extensive secretarial experience at senior level
  • Experience of taking formal minutes at sub committee level.
  • Proven experience of working well as part of a team


  • Experience of using electronic systems e.g. Rio, Integra, Eroster.
