We are looking to recruit a motivate, enthusiastic and experienced band 5 Business Lead/ Lead Administrator on a fulltime position on a substantive basis. The post holder will be based at our main service hub at Farnham Road Hospital, Guildford GU2 7LX and Epsom hub.

The post holder will be joining what is a well-established and supportive multidisciplinary team (MDT) across our outpatient and day care facilities for adults (18 years+) with moderate to severe eating disorders.

The successful applicant will become an integral member of the Adult Eating Disorders Service MDT, providing administrative support for the service manager and the team. The role will involve ensuring that administrative support to the AEDS team is carried out efficiently and in a timely manner. The successful applicant will have excellent communication skills, IT competency, particularly in Word, Excel, Outlook and MS Teams. Knowledge of System One database and ICE would be an advantage. A broad range of administrative and business experience is required including confidence and composure as well as dealing with potentially difficult situations. Excellent customer care skills and a flexible approach to work are essential. Applicants must also be comfortable working in a busy environment and be able to perform effectively whilst dealing with interruptions.

Main duties of the job

  • Accountable to the local Manager, supporting the comprehensive day to day management of the team, supporting the management of heavy and complex diary commitments, ensuring the smooth running of the office and workflow whilst transacting urgent materials proactively and effectively.
  • Oversight of all administrative aspects of the local Manager and Senior leads. To provide supervision and leadership for the established AEDS administration staff. To act as part of the senior management team for the relevant service providing and receiving highly complex, personal and sensitive information, using reassurance and influencing skills to manage communications sensitively with staff, partners and stakeholders, families and young people who use our services.
  • To be the first point of contact for callers to the local Manager and Senior leads, managing internal and external enquiries and to present complex information succinctly in a range of formats, including verbally and through use of technology and re-directing these as appropriate.

Person Specification



  • Degree in administrative/management related subject or 2 years' experience in a senior administrative/office manager role ideally within an NHS/Customer Service background.
  • Proficient in the use of related digital software including Microsoft Package.


  • RSA 3 in typewriting or equivalent demonstrable competence



  • Experience in supporting senior management. Experience of providing supervision. Project management is desirable but not essential. Experience of working on own initiative without direct supervision.
  • Experience of taking and transcribing accurate minutes, excellent communication, organisational and digital skills
