To work independently and operationally line manage a team of ward clerk team leaders and ward clerks, ensuring compliance with Trust standards of Data Quality. To deliver high quality health information for inpatient services across the Trust and ensure all ward-based data is accurate and real time. Contributing to improved ways of working leading to improvement of service and data quality standard.

Main duties of the job

Oversee the day-to-day management of the ward clerks, ensure workloads are evenly distributed and that all completed patient activity is accurately updated with relevant information.

To implement the trusts HR policies and procedure including attendance management, Annual leave and Grievance to a first stage level.

Undertake Stage 2 and 3 sickness meetings. Oversee the team leaders completing Stage 1 sickness meetings, ensuring letters are completed correctly and sent out in a timely manner.

To perform yearly PDRS for each team leader and ensure all ward clerks have yearly PDRS in line with Trust Policy, including six monthly reviews.

To distribute and monitor monthly targets with the team leaders set by the ward clerk manager. Providing monthly progress reports and improvement plans.

To conduct Monthly 1-1's with ward clerk team leaders to monitor performance and cascade month targets set by the ward clerk manager. Identifying, developing and delivering appropriate levels of training for all ward clerks and team leaders to undertake their roles and provide an efficient support service to the ward multi-disciplinary team.

Qualifications

Essential

  • *Pass in English Language GCSE or equivalent
  • *Numerate and Literate


Desirable

  • *NVQ level 3 Administration or equivalent commensurate experience
  • *NVQ level 4 Management
  • *Advanced level Oceano Inpatient Modules


Experience

Essential

  • *Excellent organisational skills
  • *Excellent verbal communication / negotiating skills
  • *Able to relate and respond to complex and sensitive issues
  • *Excellent prioritisation /organisational / co-ordination skills
  • *Computer literate
  • *Proven experience in training staff.


Desirable

  • *Team leadership.
  • *Ability to use initiative, develop ideas and show self-motivation.
  • *Ability to work in a challenging and busy environment, to tight deadlines.
  • *Practical experience in a ward clerking background.


Additional Criteria

Essential

  • *Experience of training and an ability to convey important information to a range of staff and ensure their understanding.
  • *Use of a computer screen for periods of time.
  • *Lifting / handling of patients notes
  • *This post can entail a significant amount of walking between Hospital sites, QEHB and Heritage Building


Desirable

  • *Knowledge of clinical coding principles.
  • *Knowledge of National Data Quality Standards & Definitions
  • *NHS experience
  • *Develop various methods of training sessions/ material to ensure staff understanding.
  • *Commitment to the Trust's Vision & Values
