The Service Administration Manager will provide a comprehensive range of administrative support to the Service Groups. To support with management of all secretarial and clerical staff working within the Service Group.

To undertake specific work to support the Service Group's activities within recognised structures for performance management, financial management, clinical governance and health and safety.

To ensure all aspects of the Service Group's agendas are documented and shared with a variety of senior managers and consultants as appropriate.

Main duties of the job

Maintain, develop and review the administrative processes, policiesand procedures. Organise and manage the administrative process thatsupports the divisional delivery strategy such as Directorate AnnualPlan meetings.

Ensure all agreed actions are documented accurately and shared withclinical teams immediately after the meeting has taken place.

Be responsible for following up agreed actions with consultants andService Managers and provide updates to the directorate team asrequired.

Manage and supervise the day to day operational activity of othermembers of the medical secretarial and clerical team.

Ensure clinical teams are provided with appropriate administrativesupport to contribute to the ongoing development of the service theysupport.

The ability to speak Welsh is desirable for this role Welsh and/or English speakers are equally welcome to apply.

Education Qualifications


  • Degree level or equivalent educational attainment
  • Evidence of continuous personal and professional development


  • ECDL



  • Previous experience working in a healthcare environment
  • Knowledge of outpatient processes
  • Effective management of difficult situations


  • Evidence of introducing new practices
  • Experience of managing staff

Skills, ability and knowledge


  • Good analytical skills, working knowledge of spreadsheets
  • Extensive knowledge of WPAS, CWS & Medsecs
  • Understanding of RTT and FU management

Qualities and attributes


  • Team player with flexible approach to work
  • Positive approach to problem solving & works well under pressure


  • Ability to travel to other sites
