This vacancy is advertised on a permanent basis and is a full time post (37.5 hours) to provide PA and administrative services to the Medical Director (Development) working within a busy Medical Director's office based at the Royal Hallamshire Hospital site.

To be appointable, you must be able to use your own initiative and judgement and react calmly when dealing with multiple tasks that need to be delivered to tight timeframes.

You will have excellent interpersonal and communication skills (both verbal and written), be organised and have a flexible approach along with the ability to work autonomously and under pressure in a changing environment.

Experience working at executive/senior level in the NHS or public sector organisation will be advantageous. The role will represent the directorate in a professional manner and on occasions other directorates within the Trust and external organisations.

If you are successful, ensuring efficient and effective management of systems and processes will be essential to this role as well as providing a confidential PA support to the Medical Director (Development) and to provide cover for team members as and when required, acting as first point of contact for the Medical Director's Office, and undertaking word processing to a high standard, producing accurate documentation.

Main duties of the job

  • To provide an efficient, confidential, and comprehensive personal assistant service to the Medical Director (Development) and collaboratively support the work of the Medical Directors' Office.
  • To demonstrate excellent organisational and secretarial skills and the ability to work both independently and under pressure, using discretion and judgement.
  • To provide a comprehensive administrative and secretarial service to the Medical Director (Development).
  • To effectively manage the diary of the Medical Director (Development) .
  • To work collaboratively with the Personal Assistant to the Medical Director (Operations) and the Secretary to the Deputy Medical Directors, and support the Medical Directors' Office.

Education and Qualifications

Essential

  • GCSE Maths and English at Grade C or above
  • RSA/OCR Stage III Typewriting (or equivalent experience)
  • ECDL (or equivalent qualification or experience)


Experience

Essential

  • Significant relevant experience working for a Senior Manager
  • NHS experience
  • Experience of working in a busy environment
  • Experience of dealing with the general public
  • Experience of setting up paper and software based information systems
  • Minute taking


Skills and Knowledge

Essential

  • Experience of the full range of administrative and secretarial duties.
  • Good IT skills and proficiency in Microsoft Word
  • Good written, interpersonal and communication skills
  • Good knowledge and application of the principles of confidentiality
  • Demonstrate ability to prioritise workload and to adapt effectively to changing priorities.
  • Ability to plan and organise workload, managing diaries, appointments and meetings
