Responsible and accountable for the Trust-wide Medical Records Service, this includes Acute and Community health records across the BHT footprint. A mixture of paper and electronic health records including 2 million archive records.

The Head of Medical Records is responsible for the effective strategic and operational management across the service delivering the department Key Performance Indicators (KPIs) supporting the long-term strategy of health records. The post holder will lead change programmes and be responsible for undertaking projects, tasks and initiatives as assigned in support of the Trusts Transformation programme linking in with the Digital teams and EPR Programme, securing the commitment of all staff to organisational change and continuous improvement.

The post holder is responsible for achieving an excellence level of service of day-to-day management of the Trust's EDMS patient record system (Evolve) working closely with the Informatics Digital and Technical teams, clinical teams, admin staff and managers at all levels of the organisation. Provide a high quality and efficient patient health record function for patient care.

Provides leadership and the management of 58 Medical Records staff working across the service in the Scanning Bureau, Clinic Prep, Admission and Library areas and the Access to Health Records team. Collaborate with the team to provide an efficient and effective service ensuring all records are delivered on time.

Person Specification

Education, qualifications & training

Essential

  • Education & training to Master's in Health Information Management or equivalent
  • Recognised leadership and/or management qualification or equivalent


Experience

Essential

  • Experience as Health Records Manager or Health Professional in the acute or community sector for 2 years
  • Experience of managing budgets
  • Experience of managing a large administrative team in a team setting
  • Robust with experience of being able to balance competing priorities and meet personal directorate targets within a fluctuating and demanding worload
  • Experience of managing a Scanning Bureau


Skills, abilities & knowledge

Essential

  • Strong collaboration skills (communication, open-mindedness and conflict resolution) for dealing with patients and staff
  • Proven analytical skills and sound management
  • Ability to understand interpret and introduce legislative changes around record management providing advice to Trust staff
  • Able to lead, facilitate and motivate a large team to achieve results
  • Experience of strategic planning (able to work towards a clear vision of the future while ensuring that the shorter term goals are met
  • Effective team player motivating, enthusing and empowering staff to deliver
  • Knowledge of Record Management Legislation and Guidelines
