Estates & Facilities is a face paced environment which will provide a varied role and excellent opportunity to grow your skills. The role will be to act as PA to both the Director and Head of Estates & Facilities, providing high level secretarial and administrative support, diary and meeting support, diary notifications, following up on papers, drafting agenda's, taking minutes, following up on action logs, new starter organisation, databases, fact finding, collation of data, Health Roster, on call rota's and development and implement high standards in office practices. Excellent organisation and time management skills are important to prioritise workload during busy periods as is building a good rapport and relationship with colleagues and Stakeholders both inside and outside of the organisation.

Main duties of the job

The Team Leader aspects of this role support the Administrative Team to ensure they are well supported in their learning and development, creating a training plan, assisting new staff with their onboarding, induction plans and development.

The role will provide day to day support to the Estates Team on an adhoc basis as well as ensuring Health Roster is checked and approved, that there is appropriate cover across the team, and leaves of absence managed.

Key skills required for this role are excellent organisation and secretarial skills, flexibility and adaptability and be able to work in a face paced, sometimes changing environment to meet the needs of the department.

  • NVQ level 4/foundation degree/equivalent
  • Secretarial qualification or equivalent
  • OCR RSA Word Processing level 3
  • OCR RSA Text Processing level 2
  • ECDL/equivalent

Experience
