An exiting opportunity exists for a Project Support Officer to provide Programme Management support to the Apollo Project team who are introducing a new integrated clinical care system, including an Electronic Patient Record.

Main duties of the job

Supporting project and programme managers to produce the required deliverables within the defined quality, time and cost constraints and to facilitate full realisation of benefits defined in the Business Cases.

Support development and maintenance PMO documentation, templates and processes.

Administration of project management framework processes & tools.

Assist with effective monitoring, implementation and evaluation of the tasks/projects by providing high quality support including information and analysis, communications and stakeholder management.

Ensure accurate, open communication and co-ordination with a range of organisations and Stakeholders.

Researching and drafting correspondence/ papers and ensuring the management of specific tasks.

Provision of reporting and analysis of information across a range of specialties, functions and projects.

Supporting the development of business cases, project planning, and risk and issue management.

Job responsibilities

Assist the Project Managers in preparation, delivery, updating and monitoring all Project activity, documentations and deliverables.

Support the development of the project scoping, initiation documents (PID) and plans.

To work with the project managers/project sponsors to gain the relevant approvals for projects and ensure that these are properly documented and traceable.

Ensure the agreed project management methods, standards and processes are maintained throughout the project lifecycle.

Determine stakeholders needs and expectations and develop and establish a communication plan with stakeholders.

Assist the Project Managers in the production and maintenance of project plans.

Tracking of project deliverables using appropriate tools and constantly monitoring of progress of the project to ensure project completion criteria are being met, appropriately resolving minor project issues whilst escalating and reporting on significant difficulties and complications in a timely manner.

Develop and maintain the project document library, filing, recording and electronic reporting systems.

Develop and implement appropriate project configuration management procedures.

To provide the project teams and boards with information to assist in identifying resource requirements and determining the type, quantity and quality of resources required.

Co-ordinate the production of project reports and produce project summary reports.

Contribute to preparation of documents (including costing documents) related work and costs, which requires an understanding of forward planning and budget control.

Define and document standard operating procedures in accordance with agreed methodology.

Advise and assist project team members in the application of project procedures, disciplines and recording and reporting standards.

Maintain risk and issue logs and change control records. Where necessary ensure the appropriate escalation and corrective action to ensure theses are resolved.

Develop and support effective communication mechanisms between the project teams.

Ensuring projects are supported and delivered in line with the planned and agreed timescales, delivering the functionality and benefits identified.

Plan and co-ordinate project resources against project tasks.

Undertake any other administrative tasks as specified by the Senior Project Manager.

Under the direction of a Project Manager, manage specific elements of projects and their associated work streams.

Receive and record calls ensuring that email and telephone messages are correctly relayed, that calls are transferred promptly and efficiently to the appropriate person.

Provide support to the associated staff, including diary co-ordination, stationery ordering.

Undertake minute taking as and when required by the Apollo Team and, associated staff and project boards.

Delivering service improvement, training programmes and workshops to meet strategic and operational requirements.

Responsible for verifying and when required specifying the needs and requirements of those who will use the identified systems ensuring the end users needs are accurately, completely and unambiguously represented.

Supporting the coordination of project activities, making adjustments and alterations as required ensuring appropriate phasing with other projects and project plans, particularly where there is conflict.

Measure project progress and provide the information and support necessary to enable the projects to be controlled and steered to successful completion. This includes the analysis and assessment of project data, and capacity and demand data.

To keep abreast of national initiatives, developments and policies and ensure they are shared and implemented as appropriate.

Analyse and interpret a broad range of performance data to identify areas for improvement that can be delivered.

To provide support in the form of on-demand expertise, templates, best practices, access to information and expertise on other projects, utilising the various project methodologies appropriately.

To support the production of work packages for all work stream leads Identifying and assigning tasks.

To analyse and compare system/product designs options prior to making recommendations concerning service improvements.

To monitor and assess the system designs and solutions ensuring they meet the standard requirements for clinical and /or admin use.

To ensure appropriate documentation is presented to project board members in order that they can understand the implications of change, including process maps.

To effectively manage end user liaison functions and report issues/concerns back through the project governance structure.

To ensure that benefits identified within the business case / project brief are captured and measured.

Supporting the project manager on transition management, ensuring that business as usual is maintained during the transition and the changes are effectively integrated into the business.

The role will require the post holder to set and manage priorities, and escalate issues accordingly for resolution which will also include possible solutions.

Person Specification

Experience

Essential

  • Experience of administering projects
  • Good knowledge of Computer skills, and Microsoft Office Suite, with the ability to master new applications
  • Project planning ability, including knowledge of techniques for planning, monitoring and controlling projects, e.g. PRINCE2.
  • Minute taking experience
  • Experience in any change Programme/Project gained is transferable
  • Ability to organise and manage working groups.
  • Good understanding of project methodologies and experience in project planning, including project stage co-ordination, facilitation, implementation, benefits realisation.
  • Experience of issues and risk management and escalation.
  • Ability to analyse and present information
