The division is currently looking to recruit two enthusiastic ASMs. One fixed term maternity cover position required until end of May 2024 and one substantive. Both 37.5 hours per week.

This is an exciting stage of our development as a highly successful hospital and cancer centre. We are looking for the right individual to join us as the Assistant Specialty Manager to work within the surgical division. Joining us at this critical time, you will be fundamental to managing the day-to-day operations of one of the surgical SBUs. Working closely alongside the Specialty Manager and wider clinical and administration team, you will ensure that the services are coordinated patient focused and meet complex financial, quality and activity indicators. You will work as a key member of the team to organise these services to ensure the Trust's and the Business Units' strategic and operational objectives are met.

Leading and managing a complex set of priorities, your leadership skills and innovative approach to change management will ensure the units continue to succeed.

Main duties of the job

To assist the Specialty Manager in the operational and strategic delivery of theproviding business support in each department.

To be the Line Manager for the following:-Medical Secretaries in the SBU'sOther Administrative staff as appropriate to the role

Job responsibilities

Team ManagementProviding support to the Specialty Manager for the day-to-day management of administrative services within an SBU , including secretarial services, doctors rota planning, clinic administration and indicators.

Responsible for the oversight and coordination of referral to treatment (RTT) patient tracking lists (PTL) for an SBU

To liaise with the performance and validation team regularly.

Ensure that holiday forms are completed for medical secretaries and clinical staff and monthly sickness forms are submitted according to Trustrequirements, in conjunction with the PA to Specialty Manager.Providing support to the Speciality Manager for the assessment of current andfuture administrative needs within these areas including the structure ofservices, forward planning, cover for absence and assessment of the needs for staff training and skill mix within the administrative team.

Assisting the Specialty Manager, the SBU leads and matrons to ensuredelivery of an effective patient focussed service. Manage and develop achanging service using strategic planning liaison with clinicians, managersand staff. Develop services in accordance with indicators as outlined by theDOH, the CQC and NHSLA.

Maintain induction, annual leave and study leave records of medical and nonmedical staff in the specialties ensuring optimum availability of these staff. Be responsible for EWTD compliant junior doctors rotas, locum staff. Liaise with medical staff and Human Resources to resolve medical staffing issues. Provide support to junior doctors in working safely and effectively whilst employed in the Trust, including responsibility for junior doctors induction and rotas.

Service ManagementAssist the Specialty Manager, Clinical Director & Associate Director ofOperations and SBU teams in the monitoring and achievement of national and locally agreed standards relating to individual SBU

Assist in the facilitation of the planning process for the SBU covering activity, capacity, manpower and finance, support service developments and prepare business cases, position papers and other reports as required.Responsible for the delivery of the key national and local performance targets, e.g. 18 weeks, Cancer waiting times, DMO1 targets.

To take part in the Surgical Manager of the Day (SMOD) rota and support the Site Nurse Practitioners in the admissions of the electives of the day.

Investigate and monitor critical/adverse incidents and trigger events, develop agreed action plans and reports, fostering a no blame culture.

Take responsibility for investigation and resolution of complaints and produce appropriate responses in line with the Trust standards, including meeting with complainants and facilitating discussion with those involved in the complaint. Produce regular reports in the implementation of Risk Management, Information and Clinical Governance to the SBU meetings.

Ensure auditable processes are in place to indicate that lessons are learned, raised to the appropriate level in the Trust and feedback is given to staff.

Support new initiatives and ways of working to improve patient care.

Facilitate regular audit and evaluation of all aspects of the service, ensuringthe involvement of staff and patients. To ensure multi-disciplinary auditprogrammes are maintained.

  • Degree or equivalent professional qualification
  • Evidence of significant personal development

Knowledge and Experience


  • Demonstrable operational management experience within the NHS
  • Evidence of project management to facilitate service change
  • Experience of managing/developing teams
  • Evidence of comprehension of managing budgets
  • Evidence of understanding of large & complex clinical environments


  • Knowledge & understanding of 18 weeks RTT & PTL management
  • Knowledge of junior doctor management & EWTD rota compliance
  • Knowledge & understanding of new Junior Doctor contracts
  • Detailed knowledge of the service requirements & current issues within the department (s).
