The post holder will manage the delivery of a high quality, safe and compassionate healthcare service to patients. They will have responsibility for ensuring that all administrative processes are efficient and effective and enable the team and the Trust to meet high standards of performance. The post holder will have specific responsibility for driving forward excellent standards of customer service taking action where levels of service delivery fall short of what is required or do not uphold Trust values. The post holder will line manage a team of administrators and will be responsible for organising workload and cover, recruiting and inducting new staff members, identifying training and support required by individuals and managing performance.

Main duties of the job

Scrutinise subject access requests in line with the Data Protection Act 2018 and Access to Health Records Act 1990 and in line with local operating procedures.

Obtain all relevant patient information including case notes, departmental records and those held on computer ensuring tracking systems are maintained.

Maintain accurate records of each application ensuring the Trust meets it statutory requirements and 21/40 days requirements are met.

To check for third party information within the health record before information is released and remove as appropriate or seek further advice.

Organise and conduct annual appraisals with staff and develop PDPs, ensure training and development needs are met.

  • Putting patients first
  • Operational experience in a managerial role
  • Staff management including objective setting and appraisal, performance review & people development.
  • Experience of working with clinicians and healthcare professionals at a senior level
  • Significant experience working in the NHS.
  • Producing standard operating procedures
  • Experience in dealing sensitively with a range of people issues and complaints
  • Experience of a range of Patient Administration Systems (PAS)
  • Experience of service development and policy implementation which impacts throughout the Trust
  • Ability to source and evaluate a comprehensive range of information.
  • Able to identify areas for improvement and implement processes as appropriate
  • Good communication skills, written and verbal
  • Proven ability in managing people, process, quality and productivity
  • Self-disciplined and self-motivated with the ability to work on their own initiative
