Pre-operative Assessment Clinic Support Manager

There is an exciting opportunity for an exceptional candidate to work with the Pre-operative assessment service as support manager for North Bristol Trust.As the support manager you will be the key on-site management presence for the service, ensuring that you regularly link in with management & clinical leads and taking a lead on the day-to-day operational running in the department.

Main duties of the job

This important position will give you a wide range of responsibilities ensuring you have variety and job satisfaction in your role. The right candidate will be exposed to operational management in a busy department that delivers the full range of activities including emergency pathways, elective and cancer care.

This post will be key in ensuring the efficient working of the department in maintaining clinic utilisation and identifying service improvements This in turn will ensure the trust meets both the local and Government targets in terms of RTT and cancer targets

The post holder will be responsible for supporting and co-ordinating the clinic planning for the department. The individual must have excellent communication skills in liaising with clinicians, trust specialities and management teams and in dealing with operational issues and complaints that arise. The ideal post holder will be hard-working and able to deal with pressure, as well as having an acute attention to detail and effective problem-solving skills.

Operational & Performance Management
  • To be responsible for the day-to-day operational running of Pre-Operative Assessment Clinic.
  • To be responsible for monitoring the capacity and demand for clinics and to arrange additional clinic when demand is high.
  • Attend the weekly management meeting to present the utilisation, DNA and cancellation rates to identity service improvements.
  • To be point of contact for any small works request.
  • To meet on a regular basis with the Nurse Manager and General Manager to discuss issues relating to POAC.
  • Ensuring agreed policies and protocols relating to leave management are in place and utilised with the department to ensure the service continues to run effectively.
  • To support investigation into patient complaints relating to POAC, taking the lead on implementing more effective systems and / or adapting training where appropriate.
  • To contribute to the formulation, implantation and monitoring of operational polices within the hospital, taking a lead where necessary.
  • To provide performance reports to the General Manager or Deputy Division director as required.
  • To support the implementation of the 'Synopsis at home project'.
  • To undertake and oversee work to improve performance and service delivery, working with Trust IM& T and Performance Improvement Teams as required to make full use of available information, tools and methodologies.
  • To contribute to the development of strategic and service planning by preparing achievable plans aligned with Trust Strategy.

Staffing
  • To be responsible for the management of all administrative staff based within POA and the testing unit.
  • Ensuring the administrative workload within the department is within acceptable levels and fairly distributed.
  • To discuss and plan with the senior management team any proposal to review the administrative and clerical staff structure within the department.
  • Ensuring all clerical and administrative staff within the department has an annual appraisal and personal development plan. To identify and meet any training needs arising from these appraisals.
  • Co-ordinating annual leave for staff in a planned and constructive manner.
  • To be able to identify poor performance across administrative and clerical staff and to be able to effectively resolve problems or situations that may arise.
  • Monitoring and managing absences and the provision of absence data to the Department of Human Resources.
  • To provide effective leadership in order to promote a high quality and motivated team.
  • The agreement to use and the booking of Bank Staff.
  • To lead in the recruitment, orientation programme and training of staff as required.
  • To lead the administrative department meeting.

Other duties
  • To deal with any ad-hoc queries, concerns and complaints made by patients, both in person, on the phone and in writing. To assist the senior management team with responding to formal complaints.
  • To attend meetings, training and briefing sessions appropriate to the role and take notes as required for feedback to colleagues or formal minutes as appropriate.
  • Take part in the manager of the day rota (Training will be provided)
  • To support the management of department budgets.
  • To liaise with the Directorate Financial Accountant to gather financial data as directed by senior management team.
  • To promote a safe working environment in respect of Health and Safety and welfare of staff, patients and visitors.
  • Investigate Datix reports and taking any relevant action.
  • To be an authorised signatory for time sheets etc. appropriate to role.
  • To attend meetings, training and briefing sessions appropriate to the role and take notes as required for feedback to colleagues or formal minutes as appropriate.
  • To undertake other projects within the department as required by the senior management team.
  • To assist the senior management team with developing the department and the service.
  • To undertake any other duties appropriate to the post, as agreed by the senior management team.


Person Specification

Education/Training/Qualifications

Essential

  • Educated to Degree level or relevant experience
  • IT literate to include Excel and Microsoft Office


Desirable

  • Managerial Qualification or similar course


Work Experience

Essential

  • Experience of working in a junior managerial or senior administrative role within the NHS or similar organisation.
  • Experience of designing systems to improve patients' experience and efficiency
  • Experience of working as part of a team in a multi-disciplinary environment.
  • Experience of staff management


Desirable

  • Experience of project management
  • Experience of Operational management
