An exciting post has arisen within the Older Peoples Mental Health services in the Portsmouth and Southeast Division of the Trust.
With the transformation of the OPMH Services the successful applicant will be working very closely with Service Managers by providing Administration Management to all Admin Teams within the OPMH services.
The successful candidate will also be providing a high standard PA Services to the Head of Clinical Services and Matrons within the Service
This is a key role in the effective running of the teams, and responsibilities will include providing management support to admin staff, organising diaries, liaising with other directorates, organisations, and stakeholders, providing an effective service, and producing high quality work to deadlines whilst ensuring compliance with Trust policies. The post-holder would be expected to arrange formal meetings, including agreeing agendas and minute-taking, manage information systems for the team and maintain a high standard of confidentiality.
You will be motivated, able to work independently and comfortable with using Excel and the Microsoft suite of programs. You need to be able to demonstrate strong interpersonal and communication skills and be organised. You will be required to work autonomously and be able to prioritise your own workload.
Most importantly, you will work with a high degree of discretion and integrity and be able to handle sensitive information professionally.
Main duties of the job
*To provide high quality business support, secretarial administration management and project support to the Senior Management Team of the OPMH Services.
*To support the Head of Nursing & Clinical Services and both Inpatient and Community Matrons in the Operational Management of service, with the needs of the service user being the main priority.
*Developing and maintaining a close working relationship with the Area Senior Management Team and Division to ensure effective communications and workflows in all aspects of the Area and Division business.
*To take lead role in developing information technology systems and appropriate administration processes, including membership of relevant groups and attendance at regular meetings.
*To support Area Senior Management Team in the completion of Quality & Performance Reports feeding up to the Divisional Directors.
*The post holder will be required to work autonomously without direct supervision and have oversight and control of his / her own work in a complex mental healthcare multisite environment which will include the involvement of a multitude of key stakeholders, including clinicians and outside agencies
The role will require a degree of flexibility and an ability to support individuals remotely at times. The Candidate would need experience of managing an Administration Team and proven experience of a Personal Assistant role.
