Main duties of the job

  • To follow Trust procedures for the requesting of patient casenotes in time to ensure adequate preparation and ensuring that the Patient Document Tracing (PDT) system is kept up to date with the movement of patient casenotes both into and out of the department.
  • To assist teams with sending out letters. Letters will be sent to patients, GP's, and other health professionals.
  • To assist in organising mandatory training and appraisals for the service
  • To support the creation, collate photo boards for new staff joining the department with rotation of junior doctors.
  • To assist in ensuring contact details are up to date for our departments
  • To support in ensuring that organisational charts are kept up to date.
  • To support in keeping track of stationary stock and assist in re-ordering
  • Carry out administration tasks as appropriate, this includes printing, photocopying, scanning, filing, collating information.
  • To assist with adhoc urgent administration requests

Job responsibilities

  • The post holder would be trained on the job through a combination of instruction, practice and by attending Patient casenote, Information Governance and iPM training, bluespier and other required systems.
  • To ensure that a clear understanding is obtained surrounding data quality and data protection and be able to work to this guidance.
  • To have a knowledge and understanding of the APNs (Administrative Procedure Notes) regarding the preparation and management of patient casenotes.
  • To follow Trust procedures for the requesting of patient casenotes in time to ensure adequate preparation and ensuring that the Patient Document Tracing (PDT) system is kept up to date with the movement of patient casenotes both into and out of the department.
  • To assist teams with sending out letters. Letters will be sent to patients, GPs, and other health professionals. The post holder will need to understand and use the correct envelope depending on the recipient of the letter.
  • To ensure that an individual performance review is obtained from the supervising line manager on an annual basis.
  • To assist in organising mandatory training for department staff
  • To assist in keeping track of appraisals for administration staff and ensuring Clinical Admin Managers have this arranged.
  • To support the creation, collate photo boards for new staff joining the department with rotation of junior doctors.
  • To assist in ensuring contact details are up to date for our departments
  • To support in ensuring that organisational charts are kept up to date.
  • To support in keeping track of stationary stock and assist in re-ordering
