Job summary

The successful candidate will find themselves in a rewarding role, with opportunity to shape the customer experience of Estates & Facilities. You will lead an incredible administrative team and play a major role to introduce 'Improving Together', the Trusts continuous improvement framework within your areas of influence.
Strong prioritisation skills are essential and the successful candidate will have strong IT skills (MS Office, Teams etc.), with high degrees of accuracy and attention to detail. Successful use of a variety of communications methods, preparation of Board and Committee papers, excellent report writing and presentation of information as well as research and analysis skills will be required.
Having a confident and positive attitude while remaining a strong team player with a flexible approach will be key in this role as well as the ability to work confidently and independently with colleagues at all levels.

Main duties of the job
The post holder will ensure efficient and effective administration support and information provision across the Estates & Facilities Division through the excellent leadership of the Business Support Team, and the development, implementation and maintenance of policies, procedures, and systems.
Main duties of this role are:
- Line Management and leadership of the Business Support Team who provide a centralised business support function, ensuring consistent and responsive administrative support across the Estates & Facilities Directorate. This service includes staff car parking, accommodation booking, minute taking, helpdesk & reception, requisitioning, and access control.
- Support the Estates & Facilities senior leadership team with a diverse range of activities to deliver the projects/programmes objectives of the Division.
- Setting up, preparing paperwork and taking minutes for the Estates compliance meetings.
- Communicate and co-ordinate with hospital staff at all levels to deliver an effective and integrated support service in support of Trust objectives, linked to the Estates & Facilities Management portfolios.
- In liaison with the Trust's property advisors, advise and assist the Directorate's Senior Management in maintaining space management procedures and legal documentation relating to the maintenance of leases and licenses for the Trust.
- Responsible for the administration of Trust owned and leased vehicles, reviewing and developing policies and procedures
