An exciting opportunity has arisen to join the Medical Staffing Team at Dartford and Gravesham NHS Trust.

You will be joining an experienced team which includes 1.0WTE Senior Medical Staffing Officer and 1.0WTE Medical Staffing Officer. You are supported by the Assistant Director, Recruitment and Resourcing. The team is responsible for recruitment to all medical officers (FY1 - Consultant) across the organisation.

We are seeking an team leader who has a passion for recruitment, leading a team to provide an exceptional service and committed to driving change. You are the type of manager who isn't satisfied with complacency, who is willing to question why and not afraid to advocate for change. The service is process driven with a key focus on KPIs.

The postholder will work in close partnership with the Medical Revalidation and Appraisal Manager and will be an active participant in Medical Workforce transformation projects including Medical erostering and ejob planning, introduction of an HR service desk and other digital modernisation.

Main duties of the job

This postholder will provide support, development and direction to the Medical Staffing team. This will involve quality assurance, ensuring the service meets KPIs and proactively identifies and delivers opportunities for continual quality improvement of our services.

Job description

Job responsibilities

Medical Staffing is part of the Human Resource Directorate and is therefore at the centre of organisational changes within the organisation. The post holder will work as part of the Medical Staffing Department and will be first point of contact for all forms of communication in managing recruitment and rotation of junior doctors and Trust doctors.

The post holder will also deputise for the Assistant Director Medical Workforce Transformation and Head of Medical Staffing (projects) and support with a wide range of tasks and ensuring that quality standards are met at all stages of the recruitment and selection process and cover for colleagues as required.

The role forms part of a comprehensive Medical Staffing service for the Trust and as such cross cover is expected for the Medical Revalidation and Appraisal Manager in their absence, during times of peak activity or when the service is under pressure for other reasons. This will be under the guidance of the Assistant Director Medical Workforce Transformation.

Line management of the Senior Medical Staffing Officer and Medical Staffing Officer including regular 1:1 meetings and annual appraisals.

Taking a lead under the direction of the Assistant Director Medical Workforce Transformation and Head of Medical Staffing (projects) for service quality assurance including monitoring and managing recruitment KPIs, quality checking Medical recruitment documentation including quality assuring all contracts

Provide feedback to the Assistant Director Medical Workforce Transformation and Head of Medical Staffing (projects) on the productivity and quality of work of the team, reporting on KPIs and any governance or quality improvements needed.

Promote a team approach to the running of the department in partnership with the Medical Revalidation and Appraisal Manager, ensuring adequate staffing levels as well as ensuring staff feel supported and valued and developmental opportunities are made available

Working closely with Divisional Medical Directors, Clinical Directors and the Associate HR Business Partner Medical to ensure compliance and delivery of the Medical workforce resourcing plans and priorities.

Undertake the day to day operations of medical recruitment activity and provide general support to the Medical workforce function

Support the Assistant Director Medical Workforce Transformation and Head of Medical Staffing (projects) in leading the development of a modern and innovative Medical staffing team to deliver an effective, efficient and people-centred model

Work closely with the HR, Divisions, Wards and Department colleagues in order to provide strategic and strong operational leadership for the development and delivery of the Trusts resourcing strategy and to support the Trust performance in achieving effective Medical workforce recruitment and Jnr Dr rotations that promote a positive experience from the moment of first contact with the Trust to joining on a substantive or fixed term basis and for Jnr Drs in training.

Implement strategies to ensure diverse representation at interview for Medical Workforce, including the introduction of inclusion Ambassadors and conduct audits to monitor this following interview.

Support the Assistant Director Medical Workforce Transformation and Head of Medical Staffing (projects) and other key stakeholders in developing, implementing and ensuring robust Trust standardised Medical recruitment and Jnr Dr rotation systems, processes, policies and procedures which adhere to national and local policies, procedures and employment legislation.

Proactively identify opportunities to improve processes and systems in order to identify poor practice by developing and monitoring effective Medical recruitment and Jnr Dr rotation practices to ensure compliance.

Work with the Communications team to build progressive, effective attraction strategies by utilising job boards, social media and direct sourcing, employing a range of appropriate and robust assessment and selection methods to ensure the appointment of quality candidates.

Have core knowledge and be responsible for recommending best practice and monitoring compliance with Trust policies, processes, CQC recommendations and NHS Employer Checking Standards across the organisation

Constantly look for opportunities to innovate, improve, and drive attraction, Medical recruitment and Jnr Dr experience, leading the operational management of the Medical Staffing team to establish and embed an approach to continuous quality improvement to improve customer and candidate experience as well as the overall effectiveness and efficiencies of the Medical Staffing service.

Develop the Medical recruitment brand as an Employer of Choice across all sites

Engage and assist with Medical Workforce transformation projects including collaborative Medical bank to reduce the reliance on agency workers realising savings, Medical erostering and ejob planning roll out and the use of TRAC for Jnr Dr rotation onboarding.

Support day to day Medical recruitment activity within the team including supporting the Senior Medical Staffing Officer and Medical Staffing Officer with general activity during heavy periods and annual leave and/or sickness of team members.

Take the lead role in the co-ordination with Medical Staffing team and other teams across the Trust including Medical Education, Payroll, Learning and Development, car parking, Occupational Health and Workforce Information in planning and preparation for each Jnr Dr rotation throughout the year.

Education and Training

Essential

  • Certificate in Personnel Practice or equivalent experience.
  • Educated to degree level or having experience that can show similar competence
  • Specialist Recruitment knowledge
  • Specialist knowledge in Medical workforce terms and conditions and Jnr Dr rotations.
