Job summary

The University Hospitals Sussex NHS Foundation Trust (UHSx) charities support seven hospitals and healthcare facilities for patients across Sussex. It raises, manages and distributes funds on behalf the UHSx. The charity operates under the NHS Foundation Trust under corporate trusteeship, with a Charitable Funds Committee (CFC) to manage day-to-day operations.

The charities are fortunate to be the recipients of legacies with a value of circa �1-2 m each year. This income stream is an important source of funding for the charities offering opportunities to be able to provide funding for projects that enhance and support patient care and staff wellbeing across the Trust.

The post of Fundraiser - Legacy Admin and Marketing Officer is an important link between the Trust charities and potential funders within the local community. The postholder will play a leading role in maximising income through targeted trust applications and legacy development. Key responsibilities will include detailed research, preparing and submitting proposals for support from Trusts and improving legacy income for the longer term.

Main duties of the job

  • Develop and implement a strategy for Trusts and Legacies
  • Contribute to the annual budgets, targets and plans
  • Ensure that accurate and up to date financial and supporter records are maintained and are accessible
  • Provide regular monthly reports about grants and legacy fundraising
  • Ensure that all cash handling, banking, donor acknowledgement and receipts are in accordance with current legislation
  • Working occasionally at weekends and some evenings in order to fulfil the duties within a flexible working timetable
  • To research and submit comprehensive and high-quality applications to Grant Giving Trusts and Foundations
  • To monitor all successful applications managing any stage payments and ensuring that regular reports are submitted
  • To build relationships internally
  • To devise a strategy to reach potential legacy supporters
  • To develop cultivation events to lift the profile with potential legators
  • Participating in local and regional trade events to lift the charity profile and encourage donations

Job description

Job responsibilities

General
  • In consultation with the Head of Funds Assurance and Operations, develop and implement a strategy for Trusts and Legacies with agreed targets and plans, to be reviewed on a regular basis
  • Contribute to the annual budgets, targets and plans and contribute to the planning process for Trusts and Legacy
  • Ensure compliance with all relevant legislation including the Charities Act and Data
  • To work with the Charity and Voluntary Services teams with updates through regular team meetings, ensuring that all activities are reported and seeking necessary support when greater resources are Share new ideas for potential improvement or opportunities.
  • Ensure that accurate and up to date financial and supporter records are maintained and are accessible, especially with regard to input on to the database of all trust and legacy donations
  • Provide regular monthly reports about grants and legacy fundraising activity, performance and cultivation events.
  • Provide monthly reports on the legacy pipeline noting any risks are reported on the Charity Risk register
  • Ensure that all cash handling, banking, donor acknowledgement and receipts are in accordance with current legislation
  • Be aware of the Institute of Fundraising Code of Practice and with particular regard to the Trusts and legacy fundraising activities undertaken.
  • Ensure that all duties are carried out to the highest professional standard

Trusts and Foundations
  • To research and submit comprehensive and high-quality applications to Grant Giving Trusts and Foundations.
  • To ensure that appropriate timetables are put in place to reflect the policies of possible grant funders
  • The maintenance of accurate records is essential using the Access database, with details of all trusts, grant making bodies, target legators, approaches made, donations and responses
  • To monitor all successful applications managing any stage payments and ensuring that regular reports are submitted

Legacies
  • To develop a strategy with the Fundraising Team to promote Legacies, Tribute Funds and In Memory
  • Work closely with the Finance team to ensure that all legacies are highlighted to the Charity team and that the allocation of funds is consistent with the documentation and approved by the Charity Oversee the smooth operation of the Legacy administration database.
  • To co-ordinate with Finance to monitor timely payment of legacies and to assist in the resolution of any disputes
  • To build relationships internally, especially with clinical staff and management, to encourage a clear and sensitive understanding of the importance of In Memory, tribute funds and legacies to the Trust.
  • To devise a strategy to reach potential legacy supporters, through the legal advisory networks, community groups (WI, Rotary etc.) and families of patients.
  • To develop cultivation events to lift the profile with potential legators about the opportunity to support individual hospitals and/or the wider Trust.
  • To attend a range of events including conferences, external meetings, seminars and to deliver presentations that will inspire audiences to engage with the charity by considering a legacy.
  • Participating in local and regional trade events to lift the charity profile and encourage donations

Communication
  • Provide a co-ordinated, efficient and professional service to potential legators, solicitors and other stakeholders maintaining efficient and effective communications via email, telephone and in person some of which may be sensitive or contentious ensuring all confidentialities are met.
  • Provide specialist advice on legacies to a wide range of potential donors, solicitors and representatives of other organisations about Trust Charities.
  • Lead on the convening of UHSx Partner Charity Legacy workstream Group including agenda setting, stakeholder engagement and budget reporting.
  • To be responsible for the production and maintenance of relevant reports and papers in line with most up to date guidance and Trust procedures and preparing reports for Charitable Funds Committee.

Service Delivery and Improvement
  • Ensure financial processing in the Charity and Voluntary Services team is undertaken in accordance with Standing Orders, Standing Financial Instructions and the authorised signatory list.
  • Develop and implement processes and procedures for the accurate and effective
  • Management of the legacy pipeline including the processing of financial data and sensitive reporting.
  • Promote a risk management culture within the working environment, ensuring participation and involvement of all staff, in line with the Trusts risk management strategy and policies.
  • Identify potential risks that may impact on the Charity and Voluntary Services teams ability to achieve its objectives, including details of risk likelihood, severity and impact, and record these details in the appropriate systems and on the Risk registers.
  • Investigate and resolve complex or detailed legacy issues and escalate where needed to the Head of Funds Assurance and Operations.
  • To be responsible for the production and maintenance of relevant reports and papers in line with most up to date guidance and Trust procedures and preparing the Charitable Funds Committee.

  • Capable of handling and diffusing complaints.

  • Educated to degree level or equivalent level of work experience
  • Demonstrable experience of Trusts and/or Legacy fundraising
  • Excellent IT skills: Microsoft Office, Adobe design software or equivalent.
  • The ability to work to tight deadlines and effectively manage priorities.
  • Excellent attention to detail.
  • Highly developed verbal communication skills
  • Experience of the grants sector, especially research and application proposals


Desirable

  • Experience working within an NHS or public sector organisation or equivalent large, complex organisation.
  • Willing to work at our Brighton, Worthing, Southlands and Chichester offices or remotely as required.
  • Completion of project management skills course
  • Institute of Fundraising or Legal, qualification eg ILEX
