Job summary

South West London Acute Provider Collaborative (APC) supports our local acute Trusts in working together to improve quality, operational and financial effectiveness. We have a wide range of collaborative programmes across clinical functions.

Successful candidates will have strong written and verbal communication skills and a track record of engaging effectively with a wide variety of people and organisations. Personal resilience, diplomacy, influencing skills and the ability to solve problems will be required to overcome challenges along with excellent IT skills and attention to detail. You will be used to working both on your own initiative and collaboratively to meet deadlines and deliver projects in a dynamic environment. The post holder is a key member of the APC team supporting the effective delivery of a range of programmes and events and carry out any other duties as may reasonably be required by their line manager.

Main duties of the job

Provide administrative support to the APC senior team on a number of strategic programmes and projects

Assist the project managers in the producing of business cases, board reports, presentations and project work as required, including the use of information systems.

Prepare and co-ordinate agendas for identified project meetings including steering groups, operational meetings working groups and workshops. Sending out diary invites, circulate papers, take and produce formal minutes, book venues and arrange catering.

To maintain activity logs for all projects that you are supporting, recording progress and chasing updates as required.

To update and maintain a risk register for the projects you are supporting.

To chase outstanding actions and update action logs in advance of project meetings.

Be the main point of contact for all committees, groups and meetings for which you are the providing support and co-coordinator.

To prepare a meeting schedule for the different Trusts to support the presentation of project business cases in a timely way.

To ensure that business cases and project presentations are added to the appropriate agenda and the meeting diarised for the senior project leads.

Experience

  • A successful track record in a secretarial role
  • Experience of providing administrative support to projects on a regular basis
  • Experience of working with senior members of staff and delivery of products to specific deadlines e.g. delivery of Board papers in a timely manner, delivery of actions from the previous meetings


Knowledge

Essential

  • An excellent working knowledge of Microsoft Office (including Word, Excel and PowerPoint)
  • Knowledge and ability to use appropriate IT systems
