An exciting opportunity has arisen for a highly motivated, confident, organised and experiencedDatix Team Leader to join an energetic vibrant organisation that puts its people at the heart of what they do.
We are seeking a dynamic, motivated individual with excellent communication, data analysis, and system development skills to contribute to our patient safety team within the field of incidentand risk management.
We are looking for someone with knowledge in the use of DATIX and incident management, to support the Datix and Risk Manager with the running of the Trust's electronic Risk Management System - DATIX.
Main duties of the job
This post holder has the responsibility for the day to day management of the Trust's electronic Risk Management System - DATIX.
Support the Risk and Datix Manager to manage, maintain and develop all modules of DATIX to support the delivery of key objectives.
The post holder is responsible for ensuring that all internal and external reporting requirements and timescales are adhered to for the management of reported incidents through the DATIX system.
Support the Risk and Datix Manager to develop, deliver and evaluate Datix training for all levels of staff and provide support as required to Trust staff, to ensure there are high levels of awareness around incident management/investigation processes.
Ensure accurate data entry to produce accurate statistical reports and to ensure accurate external reporting to the National Reporting and Learning System (NRLS)
Support the introduction of and transition to the Learning From Patient Safety Events system (LFPSE).
Monitor the Datix system for potential Never Events and escalate these appropriately to ensure the incident is dealt with efficiently and in a timely manner.

- Ensure incidents are entered on to the Trusts central risk reporting database (DATIX) and analyse information regarding incidents, taking further action as and when necessary.
- To lead on Datix related matters within the Trust
- Line manage the Datix Administrators including conducting 1:1 meeting, appraisals, escalating any concerns to the Risk and Datix Manager.
- Maintain the security of the Datix system including setting up new users, user logs, access rights, unlocking user accounts and closing expired dormant accounts and regularly review the Users of the access groups for leavers from the Trust.
- Support the Risk and Datix Manager to create and deliver a program of training and access to new users of Datix incident reporting, creating any report builders they may need to run regularly.
- Monitor compliance on Datix with Duty of Candour in line with both Trust and national policy requirements, escalating any exceptions to the Head of Patient Safety Incident Investigations and Clinical Incidents.
- Ensure the development of relevant SOPs and an overarching Trust policy in relation to the management of the Datix system.
- Attend relevant meetings as required, providing high quality reports containing complex facts requiring analysis, interpretation and comparison relating to incident data, duty of candour compliance and external reporting, including attending meetings in place of the Risk and Datix Manager.
- To provide support to services and teams regarding risk management, adverse incident reporting, risk assessment and risk register processes, ensuring staff follow the principles of the Risk Management Strategy.
- Support the Risk and Datix ManagerTo review incidents as they are submitted and ensure that the correct location, category have been chosen.
- To review incidents before final upload onto NRLS/LFPSE to ensure all confidential information has been removes, all fields within the incident have been completed and coding and categories are correctly
- To liaise with external organisations as necessary e.g., Auditors, HSE
- Ensure incidents are entered on to the Trusts central risk reporting database (DATIX) and analyse information regarding incidents, taking further action as and when necessary.
- Attend the weekly Rapid Review (RR) meeting and provide support to the meeting chair, including the provision of data and reports and updating agreed actions within Datix.
- The post holder will work with Directorate colleagues to ensure that sharing and learning occurs regarding reportable events particularly where there are themes which can be shared which will improve safety across the organisation.
- Assist with the creation and delivery of a program of training and access to new users of Datix incident reporting, creating any report builders they may need to run regularly.Ensure the development of relevant SOPs and an overarching Trust policy in relation to the management of the Datix system.
- Working with the Risk and Datix Manager, the post holder will support progressing the Trust wide Datix improvement plan, including designing and implementing system changes and rolling these out across the Trust
- Active involvement in the introduction and development of plans and work streams relating to both the Trust and National changes to the Patient Safety Strategy
- Attend relevant meetings as required, providing high quality reports containing complex facts requiring analysis, interpretation and comparison relating to incident data, duty of candour compliance and external reporting, including attending meetings in place of the Risk and Datix Manager.
- To provide support to services and teams regarding risk management, adverse incident reporting, risk assessment and risk register processes, ensuring staff follow the principles of the Risk Management Strategy.
- Support the Risk and Datix Manger to maintain the contract and relationship with RL DATIX
- Ensure that all updates from the software supplier DATIX are analysed in correlation with the release notes and any changes put into effect on the designed report forms and the training manuals
- To minimise risk through working with trust staff, in critically analysing adverse incidents, root cause analysis, identification of trends, prepare written reports for the Risk Reduction Group, Quality and Compliance Executive and other relevant Trust Committees making recommendations for action as appropriate

Essential
- Degree level or equivalent level education or ability to demonstrate competency at this level
- Evidence of Continuous Professional development to Post Graduate Diploma Level or Specialist Risk qualification.
Desirable
- Datix certified professional course Risk qualification
Experience
Essential
- Working knowledge on the development, management, monitoring and escalating of incident reporting systems e.g. Datix including risk registers
- Must have detailed knowledge of the Datix /Incident management systems including acting as the system administrator, updating system and software settings
- Significant previous NHS experience

- Experience of NHS management systems
