We are looking to appoint a competent and highly motivated individual to lead a team to provide an excellent service booking patients for their elective surgery at Princess Alexandra Hospital.

Main duties of the job

  • Line management of a team of Band 4 and Band 2 bookers identifying resources needed, distributing the workload and ensuring staffing
  • To be responsible for the induction and training of all permanent and temporary staff, ensuring that all policies and procedures are followed.
  • levels are adequate to meet demand and priorities.
  • Report against national and local standards to senior operational staff within the division.
  • Active involvement in the theatre utilisation project, ensuring utilisation
  • Work closely with staff at all levels and across all divisions/areas within Surgery including Clinicians, Associate Director of Operations, General Manager, Nursing and theatre staff, RTT validators
  • Provide cross cover for the other Team Leader
  • Provide analysis of information regarding waiting times and identify requirement for additional capacity and flag to the Service Manager/ Assistant Service Manager in a timely manner to ensure that patients are treated within Access Policy and government waiting time standards.
  • Responsible for the validation of 'missed off waiting list' and theatre cancellations reports and any DQ errors as a consequence of incorrect input by Complex Booking Team

Scope and range
  • Line manage a team of Band 4 and Band 2 bookers
  • Report against national and local standards to senior operational staff within the division.
  • Active involvement in the theatre utilisation project
  • Ensure that all theatre lists are fully utilised for maximum efficiency
  • Work closely with staff at all levels and across all divisions/areas within Surgery including Clinicians, Associate Director of Operations, General Manager, Nursing and theatre staff, RTT validators

Duties and responsibilities
  • To ensure that patient confidentiality is maintained at all times in line with Trust policy
  • To set standards and monitor staff performance against defined standards, identifying training needs and performance issues, taking action as appropriate
  • To collate and monitor leave of all staff ensuring that minimum safe staff numbers are maintained and budgets are not exceeded
  • Responsible for sickness reporting and day to day management in line with Trust policy, taking action where necessary and escalating to line manager/HR where further intervention is required.
  • To facilitate cross training between staff to ensure robust cover arrangements within the team during periods of leave.
  • Responsible for the recruitment process for new staff.
  • To be responsible for the induction and training of all permanent and temporary staff, ensuring that all policies and procedures are followed.
  • To lead on the development of Standard Operating Procedures (SOPs) for the local work area and ensure staff are compliant with and work to the agreed SOPs.
  • To ensure that all staff have annual appraisals and to develop staff Personal Development Plans and Objectives, and attend all Trust mandatory training courses.
  • To supervise, support and organise the day to day running of the service, identifying resources needed, distributing the workload and ensuring staffing levels are adequate to meet demand and priorities.
  • Provide cross cover for the other Team Leader, ensuring that there is senior cover at all times.
  • Ensure that weekly 1:1 meetings are scheduled with all members of the team
  • To be an active participant in the weekly 6-4-2 scheduling meeting to ensure that theatres are fully utilised and lists are booked 6 weeks ahea
  • Provide weekly analysis of booked theatre lists highlighting any gaps
  • Ensure that there are a pool of pre-assessed patients available to full last minute cancellations
  • Attend weekly meeting with the performance and planning team to discuss plans for Urgent patients
  • Provide analysis of information regarding waiting times and identify requirement for additional capacity and flag to the Service Manager/ Assistant Service Manager in a timely manner to ensure that patients are treated within Access Policy and government waiting time standard
  • Responsible for the validation of missed off waiting list and theatre cancellations reports and any DQ errors as a consequence of incorrect input by Complex Booking Team
  • Responsible for the resolution of patient complaints/issues where possible, escalating when management intervention is required.
  • Work under own initiative and make confident decisions as required to ensure an efficient service.

Person Specification

Education & Qualifications

Essential

  • Educated to GCSE level 2 standard in English and Maths or equivalent experience
  • Good working knowledge of Microsoft: Excel, Word and outlook


Experience

Essential

  • Experience of booking patients in line with National and Trust waiting time standards
  • Ability to understand and assess complex patient pathways


Desirable

  • Has successfully dealt with patient concerns/issues within a required timeframe
  • Previous management of staff


Skills & Knowledge

  • In depth knowledge of National RTT rules, Access Targets and other related polices/national guidance
  • Able to hold difficult conversations and resolve effectively
